Copyright & Media Use Policy

The HBCUI Internship Program (“HBCUI,” “we,” “our,” or “us”) develops educational resources, internship opportunities, publications, photographs, videos, and other original content to support students, educators, partner organizations, and the communities we serve.

This Copyright & Media Use Policy explains ownership of HBCUI content, how it may be used, and how photographs, videos, testimonials, and other media may be collected and shared.

1. Ownership of Website Content

Unless otherwise indicated, the content published on HBCUI-operated websites, including but not limited to:

  • Website text
  • Articles
  • Publications
  • Program descriptions
  • Internship resources
  • Educational materials
  • Career guides
  • Logos
  • Graphics
  • Icons
  • Website design
  • Layout
  • Original photographs
  • Original videos
  • Downloadable resources
  • Reports
  • Infographics
  • Social media graphics
  • Event materials

is owned by HBCUI or used with permission and is protected by United States copyright, trademark, and other applicable intellectual property laws.

2. HBCUI Trademarks

The following, including similar marks, are valuable organizational assets:

  • HBCUI Internship Program
  • HBCUI
  • Program logos
  • Organizational branding
  • Slogans
  • Graphic marks
  • Other identifying branding elements

Nothing contained on this website grants permission to use HBCUI trademarks without prior written authorization.

3. Permitted Use of HBCUI Materials

HBCUI encourages the responsible sharing of publicly available educational resources.

Unless otherwise stated, visitors may:

  • Download internship flyers
  • Print informational materials
  • Share links to HBCUI webpages
  • Distribute internship announcements
  • Use publicly available resources for classroom instruction
  • Share materials with students
  • Share materials with career centers
  • Share materials with nonprofit organizations
  • Share materials with government partners
  • Use materials for other non-commercial educational or outreach purposes

Whenever practicable, attribution to HBCUI Internship Program should be included.

4. Prohibited Uses

Without prior written permission, you may not:

  • Sell HBCUI materials
  • Modify HBCUI publications in a way that changes their meaning
  • Remove copyright notices
  • Remove logos or branding
  • Republish substantial portions of HBCUI publications
  • Use HBCUI branding to imply sponsorship or endorsement
  • Incorporate HBCUI materials into commercial products or services
  • Use HBCUI photographs or videos in advertising or promotional materials unrelated to HBCUI

5. Educational and Nonprofit Use

HBCUI supports educational outreach and encourages educators, colleges and universities, nonprofit organizations, libraries, career centers, and government agencies to share publicly available HBCUI resources for legitimate educational and informational purposes.

Educational users may:

  • Print materials for students
  • Share internship announcements
  • Display flyers
  • Link to HBCUI webpages
  • Reference HBCUI publications

provided the materials:

  • remain substantially unchanged;
  • retain copyright and attribution notices; and
  • are not used for commercial gain.

6. User-Submitted Materials Issue

Visitors may voluntarily submit materials including:

  • Internship applications
  • Résumés
  • Cover letters
  • Portfolios
  • Position descriptions
  • Partnership proposals
  • Articles
  • Photographs
  • Videos
  • Testimonials
  • Comments
  • Other supporting documents

You retain ownership of your original submissions.

By voluntarily submitting materials to HBCUI, you grant HBCUI a non-exclusive, worldwide, royalty-free license to use, reproduce, display, distribute, publish, archive, and otherwise use those materials as reasonably necessary to:

  • administer internship programs;
  • evaluate applications;
  • coordinate partnerships;
  • communicate with applicants;
  • highlight program outcomes;
  • promote HBCUI’s mission;
  • maintain organizational records.

This license remains subject to any separate written agreements between you and HBCUI.

7. Photography and Video at HBCUI Events

HBCUI may photograph, audio record, or video record activities associated with its programs, including but not limited to:

  • Internship orientations
  • Workshops
  • Conferences
  • Career fairs
  • Community events
  • Award ceremonies
  • Volunteer activities
  • Educational programs
  • Partner events
  • Site visits

These recordings help document HBCUI’s work, celebrate participant achievements, and communicate program impact.

8. Media Release

Unless prohibited by law or a separate written agreement, attendance at HBCUI-sponsored public events may constitute permission for HBCUI to photograph or record participants for organizational purposes.

Photographs, audio recordings, and video recordings may be used in:

  • HBCUI websites
  • Annual reports
  • Newsletters
  • Social media
  • Educational publications
  • Recruitment materials
  • Marketing materials
  • Grant proposals
  • Presentations
  • Reports to funders
  • Program evaluation materials
  • Historical archives

HBCUI will strive to use photographs and recordings respectfully and in a manner consistent with its educational mission.

9. Minors

When HBCUI programs involve participants under the age of 18, HBCUI will seek appropriate parent or legal guardian permission before using identifiable photographs, videos, or other media of minors, except where otherwise permitted by applicable law.

 

10. Opt-Out Requests

Individuals who prefer not to be photographed or recorded at an HBCUI event are encouraged to notify HBCUI staff as early as possible.

While HBCUI will make reasonable efforts to honor such requests, it may not always be possible to avoid capturing individuals in wide-angle photographs or recordings of public events.

If you believe a photograph, video, or other media featuring you has been used in a manner inconsistent with this policy, please contact us. HBCUI will review requests in good faith and determine whether removal or other accommodations are appropriate.

11. Third-Party Copyright

HBCUI respects the intellectual property rights of others.

If you believe copyrighted material has been used on our website without authorization, please contact us with sufficient information so we can investigate the matter.

12. Copyright Infringement Notices

Copyright concerns should include:

  • Your name
  • Contact information
  • Identification of the copyrighted work
  • Identification of the material in question
  • A description of your concern
  • Any supporting documentation

HBCUI will review reported concerns promptly and take appropriate action where warranted.

13. External Content

Our website may include content provided by partner organizations, including:

  • National Park Service
  • Colleges and universities
  • Government agencies
  • Nonprofit organizations
  • Guest speakers
  • Community partners

Ownership of such content remains with the respective rights holders unless otherwise indicated.

14. Government and Partner Materials

Some materials appearing on HBCUI websites may have been created by the National Park Service, the U.S. Department of the Interior, another government agency, a college or university, a nonprofit partner, an intern, a photographer, or another third party.

Government-created materials may be in the public domain, but government seals, insignia, trademarks, photographs, maps, artwork, donated materials, and third-party content may remain subject to legal restrictions.

The appearance of material on an HBCUI website does not by itself mean that the material is free of copyright, trademark, privacy, publicity, contractual, or other restrictions. Users are responsible for determining whether permission is required before reproducing third-party or government-associated content.

HBCUI claims copyright only in original HBCUI-created material and does not claim ownership of original United States government works.

15. Changes to This Policy

HBCUI may update this Copyright & Media Use Policy periodically to reflect changes in organizational practices, legal requirements, or website operations.

The updated version will become effective upon posting to this website.
